Position : Finance and Administration OfficerWe are looking for Finance and Administration Officer to join our client team.
Job Purpose:
- To support Malawi FETP as the lead on the Finance and Administration functions within the Program activities.
Key responsibilities:
The Finance and Administration Officer will work with the Resident Advisor (RA) to perform the following:
Administration
- Perform a variety of administrative and operational duties for the program;
- Provide logistical support for the program and to other program staff/stakeholders;
- Prepare and follow up on payment requisitions regarding various activities within the program.
- Maintain an accurate and detailed calendar of the various events, due dates, and schedules related to the assignments within the programs to ensure these activities occur as scheduled;
- In charge of receiving and distributing incoming and outgoing correspondences about the program;
- In liaison with the various program/project stakeholders, assist in drawing program activity plans and observe their executions as scheduled;
- As assigned, prepare orders for the purchase of materials, supplies and equipment upon approval; maintain records of transactions of the same;
- Attend meetings; take, transcribe and distribute minutes concerning the respective program as directed;
- Establish and maintain a variety of records and filing systems pertaining to areas of responsibility;
- In consultation with the immediate supervisor, make travel arrangements for various personnel under the program;
- Maintain records of program assets;
- Prepare and submit periodic project activity reports and updates which include but not limited to trips reports, weekly/monthly/quarterly updates.
Accounting:
- Review of financial documents to ensure accuracy of the information and compliance with the
- organization’s financial policies and procedures;
- Preparation of vouchers and entering transactions into the accounting system and/or excel ledgers;
- Assist in review of accountabilities submitted by staff/ and sub-recipients to ensure accuracy and
- completeness of the accountabilities;
- Participate in generation of monthly advance reports and submissions for review;
- Keep track of all advances to ensure accuracy of the advance balances and reconciliations;
- Take part in the review of petty cash transactions to ensure accuracy and completeness of
- documentation and that value for money was obtained before the approval;
- Ensure proper coding of all the expenditures done in line with the organization’s approved codes.
Deliverables:
- . Inception report with a detailed work plan for key activities to be implemented
- . Monthly technical reports highlighting progress on implementation of planned activities,
achievements, challenges, solutions, recommendations and activities planned for the next reporting
period.
- . Accountability reports for each completed activity

Required profile for job ad : Finance and Administration Officer Academic Qualifications and Experience:
- A Bachelor’s Degree in Finance and or Accounting or Business Administration with strong
- bias in Finance/Accounting and Administration or Management.
- A minimum of 2 years’ experience serving in a similar position in a reputable Organization.
- Chartered Membership to professional organizations and possession of relevant Chartered
- certifications is added advantage.
Desirable:
- Training in project management is desired advantage.
- Experience working with a variety of donor agencies.
